Restaurant Bill Format: What Every Receipt Must Include

The anatomy of a credible restaurant bill — business details, itemization, tax, tip and payment proof — and how to generate one in seconds.

A restaurant bill looks simple, but leave out one field and it stops being credible — to a customer, an accountant, or a tax officer. Here is the anatomy of a professional restaurant bill, section by section.

1. Business identity

Every bill starts with who issued it:

  • Restaurant name — exactly as registered
  • Address and phone — so the bill can be traced back
  • Tax ID — GSTIN in India, or your local equivalent
  • Logo — optional, but it makes the bill instantly recognizable

2. Bill metadata

  • Bill number — unique and sequential, e.g. 20260801-0042
  • Date and time of the transaction
  • Table number and server name — for dine-in, this is how disputes get resolved
  • Customer name — required on tax invoices in many jurisdictions

3. Itemized dishes

Each line should show the dish, the quantity, the unit price, and the line total:

Caffè Latte      2 × $4.50    $9.00
Avocado Toast    1 × $12.50  $12.50

Never hand a customer a bill with only a total — itemization is what makes a bill verifiable.

4. Charges, tax and tip

In order: subtotal → discount → service charge → tax → tip → total.

  • In the US, sales tax is a single line (e.g. 8.875%)
  • In India, restaurant GST is 5%, split into CGST 2.5% + SGST 2.5% — shown as two lines
  • Tip is either a percentage (15/18/20%) or a fixed amount

5. Proof of payment

The bottom of the bill records how it was settled: cash (with amount received and change due), card (with the last four digits), UPI, or mobile pay. Many restaurants add a barcode of the bill number for quick retrieval, and a short thank-you note.
